Privacy Policy – Travelasan

Travelasan (“we”, “our”, “us”) values your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and protect your data when you use our website, services, or interact with us.

1.Information We Collect

We may collect the following types of information:

A. Personal Information

  • Full name
  • Phone number
  • Email address
  • Passport details (for bookings/visa)
  • Address
  • Your preferred language for our phrase book, if you choose one
  • The language you would like our travel consultant to speak with you in, if you choose one

B. Booking Information

  • Travel dates
  • Destination preferences
  • Number of travelers and rooms, and the age of each child travelling
  • Departure city
  • The trip preferences you choose in our trip planner: who is travelling, interests, trip length, pace, cities, hotel category, any activities you add, anything else you tell us about your trip, such as food preferences or travelling with elderly parents, and a link to an Instagram post that inspired your trip, if you share one
  • Trips you save to your account from a plan: the link to that plan, which carries the preferences above, the destination, and the month or the date you gave us. They are shown to you under "My Trails" on your dashboard and are kept until you ask us to remove them
  • Payment details

C. Technical Information

  • IP address
  • Browser type
  • Device information
  • Website usage data
  • The campaign details on the link you arrived through, where the link carries them: utm_source, utm_medium, utm_campaign, utm_term, utm_content and destination
  • Advertising click identifiers, where present: gclid, which Google Ads adds to a link when you click an advertisement, and fbclid, which Meta adds on Facebook and Instagram

The campaign details and click identifiers listed in C are held only for the current browsing session. If you then send us an enquiry, they are submitted and stored together with the name, email address and phone number you gave us, so that we can tell which advertisement or link an enquiry came from. If you do not send us an enquiry, they are discarded when you close the tab.

D. Your Profile (optional)

  • Your home city, chosen from our list of Indian cities
  • Whether you have a passport: that you have one, that you are applying for one, or that you do not have one yet. We ask only which of these is true. We do not ask for your passport number, a copy of your passport, or its dates here
  • The month you plan to travel

The three details in D are optional. They stay empty until you fill them in yourself, and you can leave any of them empty or clear them later. We ask for them so that the trips and prices we suggest can start from the city you would fly from, take account of whether you will need a passport first, and fit when you want to travel. If you do not give a travel month, we use the departure date you chose when you signed up, as long as it has not passed and is no more than two years away. These details are kept with your Travelasan account and are not shared with anyone other than those named in section 3.

E. Your Photos (optional)

  • A profile photo, if you add one
  • Photos you add to your trips under "My Trails" on your dashboard, up to five per trip
  • For each trip photo, your consent choice: whether you ticked the box allowing Travelasan to feature that photo, which version of that wording you were shown, and when you made or last changed that choice

Adding photos is optional. We ask for them so that your dashboard can show your profile photo and your trips, and play your own trip photos back to you as "Trip Highlights". Before we save any photo, we re-create it and remove the information your phone stores inside the file, including the location where it was taken and the camera details. Your photos are kept in private storage with our website hosting provider (Vercel), not at a public web address, and they are shown only to you, when you are signed in to your account.

Your profile photo is never used for marketing. We will not feature a trip photo on our Instagram, our website or in ads unless you ticked the box for that particular photo, and today we do not feature any customer photos at all. If you tick the box you also confirm that everyone in the photo has agreed and that there are no children in it. You can untick it at any time on your dashboard to withdraw that permission.

You can delete any of your photos yourself, at any time, from your dashboard; deleting a photo removes the stored file and its record straight away. If you ask us to remove your photos, or to delete your account, we will remove all of your photos within 30 days of your request. You can ask by phone at the number in section 11, or by email to the address there.

2.How We Use Your Information

Your information is used to:

  • Process bookings and reservations
  • Communicate travel details and updates
  • Provide customer support
  • Send offers, promotions, and updates
  • Improve our services and website

3.Sharing of Information

We may share your data with:

  • Airlines
  • Hotels
  • Local travel partners
  • Visa processing agencies
  • Payment gateways
  • The customer-management software we use to handle your enquiry

We ensure that data is shared only for service-related purposes.

4.Data Protection & Security

We implement appropriate security measures to protect your data.

Your data is stored securely and accessed only by authorized personnel.

However, no online system is 100% secure.

5.Cookies & Tracking

This website sets one cookie of its own. It is called auth_token, it is what keeps you signed in to your account, and it expires seven days after you sign in or immediately when you sign out. It holds no advertising or measurement data. It is strictly necessary: without it the site cannot tell that you are signed in.

We do not run third-party analytics or advertising cookies on this website, and we do not use cookies to track your behaviour or to build a profile of you.

The campaign details and click identifiers described in section 1C are not cookies. They are kept in your browser's session storage and are cleared when you close the tab, so your browser's cookie settings do not control them. Closing the tab removes them.

You can block or delete cookies through your browser settings, and nothing on this site will track you if you do. Please note that blocking cookies will sign you out and stop you signing in again, because auth_token is required to hold a signed-in session.

If you use the microphone on our trip cost calculator (the 'Speak instead' button), your browser converts what you say into text using its own built-in speech recognition: on Chrome, the audio is sent to Google to be transcribed; on Safari, to Apple. We never receive the recording. The text it produces stays in the message box for you to read and edit, and reaches us only if you choose to send it on WhatsApp — the same as any other message you type and send us there.

6.User Rights

You have the right to:

  • Access your personal data
  • Request correction of incorrect information
  • Request deletion (subject to legal obligations)

9.Data Retention

We retain your data only as long as necessary for service and legal compliance.

Your photos (section 1E) are kept until you delete them. If you ask us to remove them, or to delete your account, we remove them within 30 days of your request.

10.Policy Updates

Travelasan reserves the right to update this Privacy Policy at any time.

Users are advised to review it periodically.
