Cancellation & Refund Policy – Travelasan

How cancellations, refunds, amendments, and non-refundable cases work for Travelasan bookings.

1.General Policy

All cancellations must be made in writing via email or WhatsApp.

Cancellation charges depend on airlines, hotels, and suppliers.

2.Flight Cancellation

Flights are usually non-refundable or partially refundable.

Cancellation rules are strictly as per airline policy.

3.Hotel Cancellation

  • 30+ days before travel: Low cancellation charges
  • 15–30 days: Moderate charges
  • 0–15 days: High or 100% charges

4.Holiday Packages

Cancellation depends on individual components:

  • Flights
  • Hotels
  • Transfers

Some packages may be completely non-refundable.

5.No Show Policy

No refund for unused services.

Includes missed flights, transfers, or hotel stays.

6.Refund Process

Refunds processed after receiving from suppliers.

Deduction includes:

  • Cancellation charges
  • Service fees
  • Payment gateway charges

Timeline: 15–30 working days

Refunds are returned to the original payment method. Where the original method is closed or unavailable, we will collect fresh bank details in writing before paying.

7.Cases Where Little or Nothing Comes Back

In the cases below, hotels, airlines and embassies usually keep all or most of the money, so your refund may be small or nil. This describes what suppliers charge us — it is not a decision by Travelasan to keep money we still hold.

  • Visa rejection — embassy and government fees cannot be recovered by anyone, and visa-linked bookings are often held to full cancellation charges
  • Peak season travel dates — hotels and airlines commonly apply 100% retention
  • Promotional and discounted fares — normally sold by the supplier on a fully non-refundable basis
  • Last-minute bookings — cancelled inside the supplier's free-cancellation window, so retention is usually total

Whatever the suppliers do release, we pass back to you in full, with their cancellation confirmations attached so you can see it. If any part of your booking can still be cancelled without charge, we will cancel it and refund that part even where the rest is lost.

8.Amendments

Date changes or modifications may incur charges.

Subject to availability and supplier rules.

9.How Your Refund Is Paid

Approved refunds are paid in money, to the same bank account, card, or UPI ID the payment came from. We do not convert a refund into credit or a voucher without your written consent.

What we deduct, and nothing else:

  • Amounts already paid to a hotel, airline, or other supplier and not recoverable — we will send you the supplier cancellation confirmation showing the amount
  • Payment gateway charges actually incurred on your payment
  • The Travelasan service charge, only where the work was already performed and your quote showed that charge as a separate line

If a deduction cannot be evidenced with a supplier document, it is not deducted. Once your refund is paid we will send you the bank reference number for it.
